Tenant Guide

Here at Match Estates we aim to do everything we can to make your journey into letting a property as simple as possible. To aid the transition into your new home, we have put together a Tenant Guide for your reference. Registration:

For us to help you, we need you registered as a tenant! Quite often, you will apply for a property that you have seen through our partner portals Rightmove or On The Market. We do also advertise our properties on social media. If you let us know you're looking to move, we will take all your details to ensure the properties you are viewing are suitable for you. We will also register you on our database, which will allow you to keep updated on properties we list, giving you the best chance of securing your new home.

Viewings & Application:

Once you've registered and booked your viewing, we will ask for you to attend the viewing with one of our agents. It allows you to check everything is up to your standard and the property is suitable for you before putting in an application. If you like what you see - you can put in an application to rent the property! Once this application has been filled out we will discuss your position with the landlord, along with any other applications we have received.

 

Virtual Viewings & Applications:

We understand in certain circumstances, like relocations, physical viewings are not always possible. Virtual viewings and applications are accepted by Match Estates based on circumstances. Match Estates will always offer a physical viewing at the property. Should you not be in a position to view the property physically, and you cannot ask a third party to view on your behalf, your offer will be sent on a virtual viewing. Please note that although every effort is made to ensure the property is presented as accurately as possible, a virtual viewing/offer is conducted at your own risk. 

Holding Deposit & Referencing:

If your offer to view the property is accepted, you will be requested to pay a holding deposit (one weeks rent) which comes off your first months rental payment.

 

This holding deposit is held in accordance to CMP regulations and is paid to our Client Account. This allows us to mark the property as 'Let Agreed' and begin the referencing through our referencing partner Canopy. Canopy are regulated by the Financial Conduct Authority and collate information necessary to commence a tenancy.

 

By placing an application to rent a property through Match Estates, you confirm you are happy to use Canopy as a referencing platform unless expressed in writing prior to the payment of your holding deposit.

 

It is important to note a Holding Deposit can be retained under the Tenant Fees Act 2019 for the following reasons: 

 

1) Provides false or misleading information which it is reasonable for a landlord or agent to take into account (this can include the tenants action in providing it) in deciding whether to grant the tenancy (e.g. affects their suitability as a tenant).

2) Fails a Right to Rent check.

3) Withdraws from a property.

4) Fails to take all reasonable steps to enter into a tenancy agreement when a landlord or agent has done so.

The above applies to both applicants that have applied for the property via a physical or virtual application. Holding Deposits will retained in line with the Tenant Fees Act 2019 should you withdraw your application.

Tenancy Acceptance:

At this point we will conduct our Right To Rent checks to ensure you have the right to rent in the United Kingdom. We will also be in receipt of your finalised referencing from our referencing partner Canopy. We will discuss the confirmation of move in date with you and explain everything you need to do with your utilities/bill payments moving forward. Match Estates will then issue you the tenancy move in documents including all of the compliance certificates, HMRC's 'How To Rent Guide' and any current legislative documents needed to move into the property.

Tenancy Agreement Signing:                                                                                                                                                       

Move in day is here! We will invite you into the office to sign the tenancy agreement, and provide a hard copy of any compliance certificates we have provided you digitally. You will be given a copy of our move in checklist to sign, confirming you have received the above. A scan of your keys are taken and your inventory report will be emailed to you by our inventory company (if the landlord opted to have an inventory taken). Match Estates will also provide you with any contact details needed for your time in your new home.

That's it! You're in your new home, and ready to begin the adventures of moving in and making your new place a 'home'. If the property is managed through Match Estates, we will be on hand 24/7 to provide you with any essential information or management you may need. If your landlord manages your property, we'd always recommend a friendly 'hello and thank you!' message to form a great working relationship.
